The responsible party who alone or jointly with others decides on the purposes and means of processing personal data (names, contact details, etc.).

Revocation of your consent to the processing of your data

Many data processing operations are only possible with your express consent. You may revoke your consent at any time with future effect. An informal email making this request is sufficient. The data processed before we receive your request may still be legally processed.

Right to file complaints with regulatory authorities

If there has been a breach of data protection legislation, the person affected may file a complaint with the competent regulatory authorities. The competent regulatory authority for matters related to data protection legislation is the data protection officer of the German state in which our company is headquartered: The Hamburg Commissioner for Data Protection and Freedom of Information ('Der Hamburgische Beauftragte für Datenschutz und Informationsfreiheit'): https://datenschutz-hamburg.de/

Right to data portability

You have the right to have data, which we process based on your consent or in fulfillment of a contract, automatically delivered to yourself or to a third party in a standard, machine-readable format. If you require the direct transfer of data to another responsible party, this will only be done to the extent technically feasible.

Information, rectification, blocking, erasure

As permitted by law, you have the right to be provided at any time with information free of charge about any of your personal data that is stored as well as its origin, the recipient and the purpose for which it has been processed. You also have the right to have this data corrected, blocked or deleted. You can contact us at any time using the address given in our legal notice if you have further questions on the topic of personal data.

Collaboration with processors and third parties

If, in the context of our processing, we disclose data to other persons and companies (data processors or third parties), transmit them to them or otherwise grant access to the data, this will only be done on the basis of a legal permission (e.g. if a transmission of the data to third parties (like payment service providers) is required to fulfill the contract pursuant to Art. 6 (1) (b) GDPR), you have consented to a legal obligation or based on our legitimate interests (e.g. the use of agents, web hosters, etc.). If we commission third parties to process data on the basis of a so-called 'data processing contract', this is done on the basis of Art. 28 GDPR.

Transfers of personal data to third countries

If we process data in a third country (i.e. outside the European Union (EU) or the European Economic Area (EEA)) or in the context of the use of third party services or disclosure or transmission of data to third parties, this will only be done if it is to fulfill our (pre-) contractual obligations, on the basis of your consent, on the basis of a legal obligation or on the basis of our legitimate interests. Subject to legal or contractual permissions, we process or have the data processed in a third country only in the presence of the special conditions of Art. 44 et seq. GDPR.

Server log files

The website provider automatically collects and stores information in server log files that your browser transmits. These are:

  • Browser type and browser version
  • Operating system used
  • Time and date of the server request
  • Number of visits
  • Time spent on the website
  • Referrer URL
  • IP address - which will be pseudonymised before saving.

The server is provided by: Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, Germany. See here: https://wiki.hetzner.de/index.php/Datenschutz-FAQ/en

These data will not be combined with data from other sources. The basis for data processing is Art. 6 (1) (b) GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.

SSL/TLS encryption

This site uses TLS encryption for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the site operator. You can recognize an encrypted connection in your browser’s address line when it changes from 'http://' to 'https://' and a lock icon is displayed in your browser’s address bar.
If SSL or TLS encryption is activated, the data you transfer to us cannot be read by third parties.

Contact form

Data submitted via contact form will be stored to process your request or to be available for follow-up questions. A disclosure of this data will not take place without your consent.
The processing of the data entered into the contact form takes place exclusively on the basis of your consent (Art. 6 (1) (a) GDPR). A revocation of your already given consent is possible at any time. For the revocation an informal message sent by email will suffice. The legality of the data processing operations carried out until the revocation remains unaffected by the revocation.
Data submitted via the contact form will remain with us until you request us to delete it, revoke your consent to storage or you no longer need to retain your data. Mandatory statutory provisions - especially legal storage times - remain unaffected.

Newsletter

By subscribing to our email newsletters, you agree to the receipt and procedures described here. To send our newsletters, we need an email address from you. In addition, the verification of the specified email address as well as your consent to receive the respective newsletter is necessary. For this we use a double-opt-in procedure: You will receive a confirmation email after registration, in which you will be asked for the confirmation and consent of your registration. We record the receipt of this final application in order to comply with our legal requirements. This includes saving the time of your login and confirmation, and your IP address. In addition, we ask you to provide your name, title and possibly your company. These details are optional.

Dispatchment of the newsletter and the associated evaluation is based on the consent of the recipient in accordance with Art. 6 (1) (a), Art. 7 GDPR in connection with Art. § 7 (2) No. 3 UWG ('Act Against Unfair Competition') or on the basis of the legal permission according to Art. § 7 (3) UWG. The logging of the registration process is based on our legitimate interests in accordance with Art. 6 (1) (f) GDPR.

For the revocation an informal message sent by email is sufficient or you opt out via the 'unsubscribe' link in the newsletter. The legality of the already completed data processing operations remains unaffected by the revocation. Data entered to set up the subscription will be deleted in the event of cancellation. If these data have been transmitted to us for other purposes and elsewhere, they will remain with us.

Newsletter evaluation

The newsletters contain a so-called 'web-beacon', a file that is retrieved from our server when the newsletter is opened. This retrieval will collect technical information about the browser, your system, your IP address, and the time of retrieval. This information is used for the statistical evaluation and data maintenance of the newsletter distribution. Statistical surveys also include determining if the newsletters will be opened, when they will be opened, and which links will be clicked.

Registration form

For the purpose of booking and organizing our seminars, we collect your personal data for registration via an encrypted database application on our website. To do so, you must provide personal information that we use to provide travel services and for which the aforementioned data processing principles apply. The following additional information is collected and stored when using the log-in function required to process a booking. The legal basis for this is Art. 6 (1) (b) GDPR:

  • Title (Mr., Ms., or Dr.)
  • First and last name
  • Email address
  • Company name with legal form and address
  • Area of activity or position within your company
  • Phone number
  • Postal address
  • Nationality
  • Passport details
  • Flight data of arrival and departure
  • Smoking preferences and restrictions as relevant to hotel room bookings
  • Relevant medical data as well as any special meal requests or other requirements for religious reasons or for reasons of physical impairments.

All further information is voluntary. If you provide personal information in lieu of other persons, especially participants, you must be sure that they agree that you may transmit the data. Also, if necessary, you should ensure that these people know how their personal information could be used by us. If we have to process special categories of personal data, e.g. health data for medical reasons, this will only happen if one or more additional requirements apply, and thus if

  • we have your explicit consent,
  • it is necessary to protect your vital interests or those of another person and you are physically or legally unable to give consent;
  • it is necessary to substantiate, assert or defend legal claims;
  • it is necessary for reasons of considerable public interest.
